Terms and Conditions

Terms & Conditions – Experience DaysWilderness Outdoor Education (trading as The Wilderness Company)
1. Definitions
  • “We”, “Us”, “Our” refers to Wilderness Outdoor Education, trading as The Wilderness Company.
  • “Participant” refers to any person taking part in an experience day or activity.
  • “Experience Day” refers to any outdoor activity, course, or session provided by us.
  • “Booking” refers to any reservation made online, by email, phone, or in person.

2. Bookings & Payment2.1 All bookings are subject to availability and are confirmed once payment has been received in full (unless otherwise agreed in writing).
2.2 Prices are correct at the time of booking and include instruction and equipment unless stated otherwise.
2.3 We reserve the right to refuse or cancel a booking if safety requirements cannot be met.


3. Weather & Environmental Conditions3.1 All our activities are outdoor-based and therefore weather dependent.
3.2 We reserve the right to modify, relocate, postpone, or cancel an Experience Day at short notice due to weather conditions, water levels, environmental hazards, access issues, or any other factors that may affect safety or quality of the experience.
3.3 Decisions regarding weather and conditions are made by our instructors or management team and are final.
3.4 Poor weather does not automatically mean cancellation; many activities proceed in wet, cold, or windy conditions where it is safe and appropriate to do so.


4. Rescheduling & Cancellations by Us4.1 If we cancel or reschedule an Experience Day due to safety, weather, or operational reasons, participants will be offered:
  • An alternative date, or
  • A credit voucher, or
  • A refund at our discretion (excluding any non-recoverable third-party costs).
4.2 We are not liable for any additional costs incurred by participants, including travel, accommodation, or loss of earnings.

5. Cancellations by Participants5.1 If you need to cancel your booking, you must notify us as soon as possible.
5.2 Cancellation terms:

  • More than 14 days before the activity: Full refund or reschedule
  • 7–14 days before: 50% refund or reschedule (subject to availability)
  • Less than 7 days: No refund (rescheduling at our discretion)
5.3 Non-attendance or late arrival may be treated as a cancellation with no refund.

6. Participant Responsibilities6.1 Participants must follow all instructions given by instructors at all times.
6.2 Participants must disclose any relevant medical conditions, injuries, or medications prior to taking part.
6.3 We reserve the right to exclude any participant whose behaviour, fitness, or condition is deemed unsafe for themselves or others.
6.4 Participants must wear suitable clothing and footwear as advised in pre-event information.


7. Safety & Risk Acknowledgement7.1 Outdoor and adventure activities involve inherent risks, including but not limited to slips, falls, cold exposure, water immersion, and remote environments.
7.2 By booking and participating, you acknowledge and accept these inherent risks.
7.3 We operate under robust risk assessments, qualified instruction, and appropriate safety systems, but we cannot eliminate all risk.


8. Use of Third-Party Providers8.1 We reserve the right to use external or partner activity providers where appropriate.
8.2 In such cases, participants may also be subject to the terms and conditions of the third-party provider.
8.3 We accept no responsibility for services delivered directly by third-party providers beyond our statutory obligations.


9. Equipment9.1 All specialist equipment provided by us must be used in accordance with instructor guidance.
9.2 Participants may be held responsible for loss or damage caused by misuse or negligence.


10. Photography & Media10.1 We may take photographs or video during Experience Days for promotional purposes.
10.2 By participating, you consent to such use unless you notify us in writing prior to the activity.


11. Liability11.1 Nothing in these terms excludes or limits liability for death or personal injury caused by our negligence.
11.2 Subject to the above, we are not liable for:

  • Loss or damage to personal property
  • Indirect or consequential losses
  • Circumstances beyond our reasonable control

12. Children & Young People12.1 Participants under 18 must have consent from a parent or legal guardian.
12.2 Some activities have minimum age, height, weight, or ability requirements.


13. Governing Law13.1 These terms are governed by and construed in accordance with the laws of England and Wales.
13.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
